This is known as PAYG withholding.<\/p>\n<p>When it comes to <a href=\"https:\/\/www.reckon.com\/au\/accounting-software\/payroll\/\">paying your employees<\/a> and running <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/single-touch-payroll\/stp-phase-2\/\">compliant payroll processes<\/a>, understanding your PAYG withholding obligations is crucial.<\/p>\n<p>So, what exactly is PAYG withholding and how does it work?<\/p>\n<h2>What is PAYG withholding?<\/h2>\n<p>PAYG refers to the \u2018pay as you go\u2019 system of paying an employee\u2019s income tax to the Australian Taxation Office (ATO).<\/p>\n<p>Instead of an employee being responsible for their own tax bill (like a <a href=\"https:\/\/www.reckon.com\/au\/accounting-software\/industries\/sole-trader\/\">freelancer<\/a> would) the PAYG system estimates the amount of tax each employee owes to the ATO, and as their employer, you pay this on their behalf.<\/p>\n<p>PAYG withholding refers to the act of withholding or keeping aside the expected income tax your employee will owe and using this withheld amount to pay the ATO directly.<\/p>\n<p>You need to make sure you calculate this correctly and meet all PAYG withholding obligations when reporting to the ATO.<\/p>\n<h2>How does PAYG withholding work?<\/h2>\n<p>As an employer, the basic steps for PAYG withholding are as follows:<\/p>\n<ol>\n<li>Before making payments to employees and withholding tax, register your business for PAYG withholding.<\/li>\n<li>Receive <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/starting-a-small-business\/small-business-tax-help\/\">tax file number declarations<\/a> and withholding declarations from your employees.<\/li>\n<li>Regularly pay the ATO their owed withheld amounts according to your individual schedule.<\/li>\n<li>Report the withheld PAYG amounts on your <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/bas\/\">regular activity statements<\/a>.<\/li>\n<li>Use <a href=\"https:\/\/www.reckon.com\/au\/accounting-software\/payroll\/\">STP-enabled software<\/a> to automatically report PAYG and other payroll information to the ATO.<\/li>\n<li>You would previously provide a PAYG payment summary statement\u00a0to your employees, but now with STP, you don\u2019t have to. (Your employees can now access this information through MyGov.)<\/li>\n<li>Lodge your PAYG withholding\u00a0annual report to the ATO every year <a href=\"https:\/\/www.reckon.com\/reckon-blog\/eofy-is-coming-up-know-the-lodgment-dates-for-the-financial-year-ahead\/\">before 14 August<\/a>.<\/li>\n<\/ol>\n<h2>PAYG and BAS<\/h2>\n<p>PAYG also factors into your business activity statements (BAS). When you <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/bas\/\">file your BAS<\/a>, you&#8217;re obliged to provide details about employee payments and the tax you withheld.<\/p>\n<h2>Do you have to use PAYG withholding as an employer?<\/h2>\n<p>When they remunerate employees and run their payroll, virtually all employers need to use the PAYG withholding system.<\/p>\n<p>You must undertake PAYG withholding if:<\/p>\n<ul>\n<li>You have <a href=\"https:\/\/www.reckon.com\/reckon-blog\/do-i-grow-my-business-and-put-on-more-staff-or-stay-as-i-am\/\">employees<\/a>.<\/li>\n<li>You employ contractors or other workers who have voluntarily requested you withhold PAYG.<\/li>\n<li>You pay other businesses who have not quoted you an <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/starting-a-small-business\/how-to-get-an-abn-number\/\">ABN<\/a>.<\/li>\n<\/ul>\n<h2><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-263026 size-full aligncenter\" src=\"https:\/\/www.reckon.com\/au\/wp-content\/uploads\/2023\/05\/3-weekly-fortnightly-and-monthly-tax-tables.png\" alt=\"tax table withhold amounts from payments to: your employees, other workers, businesses that don't quote their ABN\" width=\"840\" height=\"300\" srcset=\"https:\/\/www.reckon.com\/au\/wp-content\/uploads\/2023\/05\/3-weekly-fortnightly-and-monthly-tax-tables.png 840w, https:\/\/www.reckon.com\/au\/wp-content\/uploads\/2023\/05\/3-weekly-fortnightly-and-monthly-tax-tables-480x174.png 480w\" sizes=\"(min-width: 0px) and (max-width: 480px) 480px, (min-width: 481px) 840px, 100vw\" \/><\/h2>\n<h2>Registering for PAYG<\/h2>\n<p>If you\u2019re required to withhold PAYG, you must register for PAYG withholding before paying your first employee and withholding tax.<\/p>\n<p>To do this, visit the Australian Business Register on the ATO website or register through your ATO Business Portal. (Alternatively, this can be done by telephone call if you wish.)<\/p>\n<h2>Tax file number and withholding declarations<\/h2>\n<p>Your employee must submit a tax file number declaration (TFN declaration). If the employee needs to authorise a PAYG adjustment, for example, if they have HECS-HELP debt or want to claim entitlements to a <a href=\"https:\/\/www.reckon.com\/reckon-blog\/how-to-use-new-federal-tax-breaks-to-invest-in-your-businesss-technology\/\">tax offset<\/a>, they need to also complete a withholding declaration.<\/p>\n<h2>How much do I need to withhold?<\/h2>\n<p>The ATO offers online tax calculators that enable you to determine the amount of PAYG you need to withhold from each employee. They also offer <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/financial\/weekly-fortnightly-monthly-tax-tables\/\">tax tables<\/a> as an alternative. Employers can also consult with a tax professional when in doubt.<\/p>\n<p>Furthermore, your <a href=\"https:\/\/www.reckon.com\/au\/accounting-software\/\">accounting software<\/a> can often help you calculate PAYG as well.<\/p>\n<h2>When do I need to pay and report PAYG withholdings?<\/h2>\n<p>When it comes to paying and reporting withheld amounts to the ATO, let\u2019s look at your responsibilities as a business owner with staff.<\/p>\n<h3>Reporting PAYG<\/h3>\n<p>Once you register for PAYG withholding, you need to report withheld amounts to the ATO.<\/p>\n<p>With STP, the amounts you withhold for PAYG will be reported to the ATO every time you <a href=\"https:\/\/www.reckon.com\/au\/small-business-resources\/payslip-template\/\">run your payroll<\/a>. This means if you\u2019re using STP-enabled software, you don\u2019t need to provide payment summaries to the ATO.<\/p>\n<p>However, your responsibilities don\u2019t stop with regular STP reporting. You\u2019ll also need to submit the same information in your regular activity statements and provide a PAYG payment summary annual report, (due every year before 14 August).
